Product responsibilities and pre-launch terms architecture

Eligibility and service operator

The service is for people aged 18 or older. HSEVIA is the product and service name and is not currently represented as a registered company. The legal operator identity, business address and governing jurisdiction must be configured and approved before public launch.

HSEVIA may be technically accessible internationally during the beta. Availability may be restricted where law or operational constraints require. This draft makes no jurisdiction-specific or worldwide compliance conclusion.

Account responsibility

Users are responsible for keeping credentials and MFA recovery material secure and using access granted by their organization only for authorized work. Organization admins control membership and role assignments within the product.

Authorized use

The product is intended for recording, reviewing and reporting HSE work. Users must not probe another tenant's information, bypass access controls, introduce malicious files, interfere with service operation or misrepresent safety evidence or approvals.

Human responsibility for HSE decisions

HSE Dashboard supports record keeping and review; it does not replace competent professional judgment, legally required competent-person review, organizational controls, site controls or legal duties. AI may draft, classify, summarize, recommend and assist retrieval. AI cannot silently approve, close, publish, make employment or medical-fitness decisions, or override high-impact HSE decisions. Authorized people remain responsible for review and sign-off.

Data principles

The product treats operational HSE records as organization data and the HSE Professional Passport as person-owned data. Removing a user does not silently delete organization records. Historical evidence may remain with attribution detached or anonymized. Personal export and account deletion controls are available subject to the organization-ownership safeguard.

Customers may store genuine workplace occupational-health information only where they have appropriate authority and a lawful basis. They should collect only what is genuinely required for workplace health and safety purposes. HSEVIA is not an electronic health record, clinical record, diagnosis, treatment or emergency medical system, and AI must not be relied upon for medical diagnosis, treatment or employee fitness decisions.

Free Beta and future billing

HSEVIA is currently offered as a Free Beta. No subscription payment or payment card is required merely to participate, and Free Beta participation does not automatically convert into a paid subscription. Beta functionality may evolve. Any future paid service requires the user or customer to affirmatively choose the applicable offering and terms.

If paid subscriptions are enabled later, they use Stripe-hosted Checkout and Stripe's billing portal; HSE Dashboard does not collect card details directly. The implemented cancellation policy keeps paid access through the billing period while Stripe reports an active subscription scheduled to cancel, then removes paid access when Stripe reports it canceled. Cancellation does not silently delete historical customer data.

Prices, trials, numeric plan limits, refunds, taxes and final purchase terms are not established here and require approved commercial policy and professional legal review before launch.

Account deletion and access ending

A user can request deletion after password confirmation. The request is blocked while that user owns a company so organization HSE records are not destroyed. Organization deletion is a separate process whose retention timing remains subject to legal and operational review.

Terms reserved for professional review

Final Terms must be approved by qualified counsel before public launch. This draft deliberately does not choose or promise:

  • governing law, jurisdiction or dispute procedure;
  • liability limits, indemnities, warranties or service levels;
  • refund rights, statutory consumer rights or tax treatment;
  • final suspension, termination or organization-retention terms; or
  • jurisdiction-specific regulatory or compliance conclusions.
